How to print PDFs and images received in WhatsApp Web

A customer may send a ready-to-print PDF or an image that needs cropping or rotation. Smart Print Assistant displays both in the conversation panel so you can prepare each according to the order.

Set up printing first

Install the extension from the Chrome Web Store and open WhatsApp Web on Windows. Download Print System from inside the extension and run it, then check that the printer is installed. The Microsoft Office requirement applies to Word and PowerPoint, not as an extra requirement listed here for PDFs or images.

Print a PDF document

  1. Open the conversation and the extension panel, then select the PDF.
  2. Review the file name and sheet count to check the document and the size of the job.
  3. Choose the printer, copies, black-and-white or color and paper orientation.
  4. Review two-sided printing according to printer capabilities, then print.

If the customer sent multiple versions, explicitly choose the one they want. Similar file names do not mean the contents are identical.

Print an image as received

Select the image in the panel and set the printer, copies, color and orientation. Check the image direction, especially for phone photos taken in portrait or landscape.

Edit a copy before printing

  1. Open the image editor from the image card.
  2. Crop unwanted areas, rotate the image or resize it as needed.
  3. Add Arabic or English text or an arrow if the order needs it. Use undo to cancel a step.
  4. Save the edit. A new copy is created and the original stays unchanged.
  5. Select the edited copy for printing. You can hide the original to avoid printing it accidentally.
Check source quality

Resizing an image or adding text does not guarantee recovery of missing detail. If text is unreadable, ask the customer for a clearer photo or document before printing.

When to use PDF tools

If you need PDF pages as images, use PDF-to-image conversion. File compression tools are also available. Choose the tool that fits the order and keep the original file for reference.

Final check

  • Have you selected the correct document and the final edited image?
  • Are copies and orientation correct?
  • Does the customer want color or black-and-white?
  • Is the printer ready and the companion program running?
