Batch printing guide
How to print WhatsApp Web files in a batch
If a customer sends several files in one conversation, select the files for the order in Smart Print Assistant and print them as a group instead of opening each file separately.
Use Chrome on Windows and install the extension and the Print System companion program. Run the program and check that your printer works. Word and PowerPoint printing also require Microsoft Office.
1. Open the customer conversation
Sign in to WhatsApp Web, open the conversation containing the order and open the extension panel. Check file names and thumbnails to make sure you are preparing the right order.
2. Wait for the files to appear
When the companion program is running, the extension supports automatic downloads of files and images from the conversation. If a file is missing, check the conversation, confirm that the file is still available there and check the connection to the local program.
3. Select more than one file
Click the files you need or drag with the mouse to select a group. Documents and images can be included in the same order. Review the selection and remove duplicates or files the customer does not need.
4. Review print settings
- Choose the correct printer.
- Check copies, color and paper orientation.
- Set two-sided printing if your printer supports it.
- Review the sheet count and the black-and-white and color counts.
Settings are saved per printer to make future orders easier. Still check them when switching between color and black-and-white jobs.
5. Print the selected group
Once files and settings are correct, use the print command in the extension. Check the Windows print queue if needed. If the order is delayed, check its status before sending it again to avoid duplicate copies.
Selection does not merge files
Batch selection prints multiple files as part of the same task; it does not turn them into a single document. If you need one file to save or deliver, check the file tools available in your version.
If printing does not start
Make sure Print System is running, the printer is available in Windows and the print queue is not paused. For problems limited to Word or PowerPoint, check Microsoft Office. Contact support with the file type and the error message if you need help.
